Privacy Statement for Applicants

Spakto is committed to protecting the personal data of individuals who apply for positions with us. This statement explains how we collect, use and protect your personal information during the recruitment process.

1. Information We Collect from Applicants

  • Contact details including name, email address, phone number and postal address.
  • Professional information such as your CV, work history, educational background and skills.
  • Application materials including cover letters, portfolios and references.
  • Information gathered during the interview process including notes, assessments and feedback.
  • Right to work documentation where applicable and permitted by law.
  • Any other information you voluntarily provide during the application process.

2. How We Use Your Information

  • To assess your suitability for the role you have applied for.
  • To communicate with you throughout the recruitment process.
  • To conduct background and reference checks where applicable.
  • To comply with legal and regulatory requirements.
  • To improve our recruitment processes and candidate experience.
  • With your consent, to consider you for future opportunities.

3. Legal Basis for Processing

We process your personal data based on: your consent (where explicitly given), the necessity of processing to take steps prior to entering a contract of employment, compliance with legal obligations, and our legitimate interests in assessing candidates for employment.

4. Data Sharing

  • Internal Spakto team members involved in the recruitment process.
  • Recruitment and applicant tracking software providers.
  • Background check providers (where applicable and with your consent).
  • We do not sell applicant data to third parties under any circumstances.

5. Data Retention

If your application is unsuccessful, we will retain your personal data for up to 12 months in case a suitable future opportunity arises (with your consent). If you consent to be considered for future roles, we will retain your data for up to 24 months. If you are hired, your data will be transferred to your employee file.

6. International Transfers

As a globally distributed company, your information may be accessed by Spakto team members in different countries. We ensure all such transfers are protected by appropriate safeguards in line with applicable data protection laws.

7. Your Rights as an Applicant

  • Access – request a copy of the personal data we hold about you.
  • Rectification – request correction of inaccurate data.
  • Erasure – request deletion of your data (subject to legal requirements).
  • Restriction – request we limit our use of your data.
  • Objection – object to our processing based on legitimate interests.
  • Withdraw consent – where processing is based on consent, you may withdraw it at any time.

8. Automated Decision-Making

Spakto does not use fully automated decision-making that produces legal or similarly significant effects in our recruitment process. Human review is always part of our assessment.

9. Security of Your Data

We take appropriate technical and organisational measures to protect your personal data. Access is limited to personnel who have a legitimate need to access it for recruitment purposes, all of whom are bound by confidentiality obligations.
